PTF Meeting Minutes

The W.L. Callahan Elementary School PTF is a very active, involved organization of parents and teachers who are interested and concerned about the children at the W.L. Callahan Elementary School. Monthly meetings are held, starting in September, the First Tuesday of the month. Meeting time is 6:30 p.m. The first meeting, is usually the longest. At this meeting, we give an overall projection for the school year. Opportunity is given to ask any questions that may concern you.

We also have sign-up night at the meeting for all P.T.F. events happening throughout the year.

CALLAHAN SCHOOL PTF MEETING MINUTES

AUGUST 18, 2004

 

Members Present: Jim Eccleston, Karen Osman, David Brunetti, Lynn Clark, Judy McLaren, Karen Ostroff, Rachel Auclair, Tammy McClure, Sharon Ponce

 

The following issues were discussed and/or decided upon at the August 18, 2004 meeting held at the home of Jim Eccleston:

 

  1. Planners for 3rd grade: Planners will be purchased by PTF for $2.72 per planner and students will be asked to pay $2.00 of this cost at the beginning of the year.
  2. Jim is preparing a PTF Handbook along with a calendar of events for the upcoming school year which will include an open invitation to all parents of Callahan students to join the PTF and attend the next meeting scheduled for September 7th, 6:30 P.M @ the Callahan School.  The handbook will be distributed the first week of school to the students to bring home.
  3. It was decided that the PTF will try to be consistent with the monthly meetings and schedule them for the 1st Tuesday of each month at 6:30 P.M.  This schedule will begin in September.
  4. The supply of PTF envelopes is around 300 and was thought to be enough, The handbook defines what the envelopes are for,
  5. Fundraising ideas: Lynn Clark shared an idea involving a “Pizza Kit” that includes the fixings to make three- 12 inch crust pizzas.  Lynn will gather more information and report back at the next meeting.  Parents would do the actual selling, not the children.
  6. HARVEST FAIR: The following person(s) responsible for various functions or activities along with any ideas discussed are as follows:

 

1)      Karen Osman-  Secured all required licenses and/or permits needed from State Police, Dept, of Health, Town of Burrillville.

2)      Raffle: Karen Osman and Karen Ostroff will double check with the Burriville Town Police Dept. to make sure everything is in order.

3)      Jim Eccleston has sent many e-mails to various organizations requesting participation at the fair. He has received many commitments and a list of some follows: a) RI Resource and Recovery

b) Foster Parents of RI

c) Pres. RI Beekeepers Association

d) Shriners AND Masons

e) Sojourner House

f) Kids Count

g) NASA – set up inside school

           Many others have also given their commitment and we will discuss the firm commitments at the next PTF meeting.  David Brunetti mentioned trying to tap into more of our own “local” groups such as the Burriville Conservation Commission. 

 

  1. BLOOD DRIVE: A blood drive will be held the day of the fair.  Flyers will be posted around the town.  The breakfast drew 35 people who donated and only 20 was expected so the numbers will probably be close to what we had at the breakfast or a little more.
  2. ADMISSION: One canned good per person. This will be on the flyer.
  3. RAFFLE: Donations will be needed. Examples are gift certificates from local businesses and/or items. Cardi’s furniture was mentioned as they have donated recliners to groups before, Sharon offered to solicit donations from area merchants, and we are sure there are others also who will be doing the same.
  4. ENTERTAINMENT: A Talent Show was discussed open to Preschool thru 8th grade.  An entry fee of $1.00 would be charged to participants of theTalent Show. Flyers will be posted, particularly at Little General.  Music, Dance, and Comedy could be accommodated. There would be awards and participant ribbons. An emcee would be needed for the show and we also discussed a Band talent show.  A sound system would be required and Karen Ostroff will check on the availability.
  5. HARVEST FAIR “BUTTONS”: The idea of a “BUTTON” was discussed where a person could enter the talent show and scarecrow contest for a $3.00 fee.
  6. PUBLICITY: Jim already registered with CAT  Country 98.1 and will resend an e-mail to them asking to advertise the Fair. Jim also registered with the CH 10 and Ch 6 websites. Rachel Auclair mentioned Dave Richards of WOON in Woonsocket; maybe a live broadcast could be done? The Bargain Buyer would cost around $118.00 and The Neighbors could do a feature on the activity page at no cost.  Crafters are needed and space could be sold for $25.00 for a 10’ x 10’ area. Lynn Clark will check on the craft cottages in Chepachet to see if anyone there interested. The banner advertising the Fair will need to have the dates changed at a cost of $60.00. Local churches that have weekly bulletins may be another source of advertising, especially those churches that have a food closet or help with one.
  7. INSURANCE: A rider on the insurance will be necessary to hang the banner. The electric company will hang it.  Karen Ostroff will check on the insurance issue.
  8. GAMES:

1.      “ARREST A FRIEND” Booth was discussed and the idea of the Town Council, School Committee, and Town Manager as “celebrity” sheriffs was discussed.  A warrant would be issued and the person “arrested: would remain in “jail” until released on “bond or bail”? A person could be arrested no more than 3 times.

2.      BOUNCER

3.      BEAN BAG TOSS- Dave Brunetti has a device he made and can bring.

4.      BASKET SHOOT

5.      EGG/SPOON RACE and SACK RACE (Do one game half the day and the other game the rest of the day?)

6.      PINEWOOD DERBY TRACK- Jim could provide the track and some cars and have a demonstration as to how it works and let kids try it.  The Scouts would demonstrate.  Need to decide where the Cub Scouts and Boy Scouts could be utilized with the operation of the games.

7.        PUMPKIN PAINTING: Leeway may be able to provide pumpkins for painting?

8.      APPLES- Apples on a string and kids try to bite them, where or how would we hang them. Sharon will check with POLSENO APPLES to see if they could donate apples.

9.      GAME STATIONS: Need to be age appropriate. K-2nd grade; 3rd-5th grade; and 6th –8th grade.

10.  FOOD: Needs to match the season. Keep it simple. Hamburg, Hot dogs, Pizza, Popcorn, Soft pretzels, Canned soda.  If weather is very cool or chilly that day could have hot chocolate and cider??  Paper plates, cups, napkins will be needed. A Certificate of Sponsorship was mentioned as a nice way to give credit to merchants or people who sponsored the event.  Jim stated it is important to make sure that a thank you note goes into the Bargain Buyer.

11.  TICKET BOOTH: A site map of the Fair could be handed out as people gain admission to the fair with the canned good.  This would enable everyone to see everything that is available.

12.  MEETING: The next PTF MEETING will be held on TUESDAY, SEPTEMBER 8TH @ 6:30 P.M. at the CALLAHAN SCHOOL.
